Everything you need to know about whistleblowing hotlines
A whistleblowing hotline is a confidential channel for employees, suppliers and customers to report conduct that goes against ethics, policy or the law, such as fraud, harassment or corruption, including anonymously. When it is run as a management system, every report is investigated, resolved and documented.
For organizations
What is a whistleblowing hotline?
It is a confidential channel for employees, suppliers and customers to report conduct that goes against ethics, policy or the law, including anonymously. LETICA® goes beyond intake: it guides the investigation, resolution and closure of every report, and keeps everything documented.
Is a whistleblowing hotline mandatory in Mexico?
No law requires every company to have one, but several regulations make it necessary in practice. NOM-035-STPS-2018 calls for mechanisms to receive complaints of workplace violence, and the General Law of Administrative Responsibilities (Article 25) treats reporting systems as part of a company's integrity policy. The ISO 37002 standard provides guidelines for managing them.
What is the difference between an internal and an external hotline?
With an internal hotline, reports are received by the organization's own staff, and many employees don't trust it for fear of retaliation. With an external hotline like LETICA®, an independent company receives them, which gives reporters more peace of mind and increases use of the hotline.
Through which channels can reports be received?
LETICA® receives reports by phone, through a website customized for your organization and through mobile apps. Channels can be combined, and every report reaches the same platform. The phone line is available depending on the plan.
How much does a whistleblowing hotline cost?
The cost depends on the size of your organization, the intake channels and any services you add, such as consulting, training or investigations. Choose your organization's size on the plans page and an advisor will send you a proposal.
Does LETICA® work for both small companies and multinationals?
Yes. LETICA® works for organizations from small businesses to multinationals, with no user limit. It lets you segment management by country, company, business unit and location, so each segment handles its own cases.
What services do you offer besides the platform?
Policy consulting, such as codes of ethics and policies, process improvement, technical training for administrators and investigators, specialized investigations of fraud, harassment and corruption, and rollout and awareness of the hotline within your organization.
Internal vs. external whistleblowing hotline
The key difference is who receives and safeguards the reports. That changes how much people trust the hotline, and therefore how much they use it.
| Aspect | Internal hotline | External hotline with LETICA® |
|---|---|---|
| Who runs it | The organization's own staff. | Soft Controls International, an external, independent company. |
| Reporter trust | Fear of retaliation or exposure is common. | People can report with greater peace of mind. |
| Communication with the reporter | Often requires the person to identify themselves. | Follow-up and answers without revealing their identity. |
| Record of actions | Depends on each area's controls. | Auditable logs of every action on the platform. |
| Information for leadership | Usually compiled by hand. | Statistics to take preventive and corrective action. |
For people who want to report
How do I make an anonymous report?
Go to letica.mx, choose how you want to make your report and describe what happened, where, when and who was involved. You don't need to give your name to make the report or to follow up on it.
Will my company know who made the report?
Not if you choose not to give your name. LETICA® is run by Soft Controls International, a company external to your organization, and you can follow up on your report without revealing your identity. Keep in mind that some details you include could help identify you.
What happens after I make my report?
Your report reaches the people your organization has designated to investigate it. You can check its progress and answer investigators' questions without revealing your identity. In the end, the organization documents the resolution and, where applicable, the remediation measure.
Can I report through this site's contact form?
No. The contact form is only for organizations that want to learn about LETICA®. To report, use the reporting channel at letica.mx, which protects your anonymity and the confidentiality of your information.
